Terms & Conditions

When making a booking, please ensure that all the details you provided are correct. It is your responsibility to notify William Bay Cottages if any of your details have changed. 

We reserve the right to refuse a booking and refund any payments made at our discretion.

OCCUPANCY AND BEDDING


Rather than charge our guests full occupancy rates, we price our cottages based on actual occupancy and bedroom use. We do this to keep our pricing down for guests, ensuring that they only pay for what they use.

With all 2 bedroom cottages, the base nightly rate is priced for two adult guests sharing a master bedroom only. 
Should the two adult guests be traveling as singles and or require separate bedrooms, please contact us to arrange additional bedding requirements prior to your arrival. We would be more than happy to accommodate your requests however please note additional charges will apply when utilising additional bedding.


In the case of our 3 bedroom cottages, the base nightly rate is priced to include 4 guests sharing two bedrooms. 
Guests may utilise either two master rooms or one master room and two single beds. Please specify your bedding preference at the time of booking. In the case of 4 guests only, please note additional charges will apply when utilising additional bedding in the third bedroom.

If our maximum occupancy per cottage is exceeded, an additional fee of $110 per person per night will be charged to your nominated credit card.

CHECK IN/CHECK OUT

Check-in time is from 2:00pm and Check-out time is until 10:00am. You will receive additional information regarding arrival, departure and after hours access via an email three days prior to your stay.

PAYMENT POLICY

The full tariff must be paid at the time of booking. Please note your credit card will be charged at the time of booking via LITTLE HOTELIER.

If you wish to make a booking over the phone or in person, we accept cash, credit card (Visa / MasterCard) or bank transfer into the following account:

William Bay Cottages reserves the right to release dates if payment terms are not met.
Once we receive your payment, we will record it and send you through a Booking Confirmation.

Any outstanding balance resulting from changes or added extras in the booking at a later date will be due upon arrival.


CANCELLATION POLICY 

This policy applies to bookings of 1 or 2 cottages only. For bookings over 2 cottages please refer to our Group Bookings Policy.

We understand that circumstances change and cancellation of bookings is sometimes necessary. We have the following policy in place in an effort to ensure that both we and our guests are treated fairly.

In the event of a cancellation prior to 30 days before arrival, the deposit will be fully refunded less a $100 admin fee.
 
In the event of a cancellation less than 30 days or on occasion of an early departure of any number of guests, the booking will be non-refundable and the total amount of the accommodation will be charged. If we are able to re-book the accommodation for the same time period, the balance of the accommodation cost will be refunded minus a $100 admin fee.

We recommend travel insurance to cover you in the case of an emergency, sickness or other mishap.


DATE CHANGES 

This policy applies to bookings of 1 or 2 cottages only. For bookings over 2 cottages please refer to our Group Bookings Policy.

Date changes prior to 30 days of arrival, won't incur a fee.

Date changes within 30 days of your reservation are considered a cancellation and will therefore be subject to our cancellation policy.

Shortening a stay is considered a date change and will, therefore, be subject to this date change policy.

Extending a stay can be requested at any time without incurring any fees and the request may or not be accepted subject to availability.

The new booking date must be within 12 months from the original booking date and only one date change per booking is permitted before an administration fee of $150 is applied.


GROUP BOOKINGS - CANCELLATION POLICY 

Given the complexity and extra resources required for group bookings, the following special conditions apply for bookings of 3 cottages or more.

In the event of a cancellation prior to 60 days before arrival, the deposit will be fully refunded less a $100 admin fee / Per canceled cottage.
 
In the event of a cancellation less than 60 days or on occasion of an early departure of any number of guests, the booking will be non-refundable and the total amount of the accommodation will be charged.
If we are able to re-book the accommodation for the same time period, the balance of the accommodation cost will be refunded minus a $100 admin fee / Per canceled cottage.

We recommend travel insurance to cover you in the case of an emergency, sickness or other mishap.

Please note that parties/weddings or events of any sort are not allowed within our property.

REFUNDS

Refunds will be issued to the credit card received at the time of booking.

FORCE MAJEURE

Any cancellation due to any event or circumstance which is in the nature of force majeure such as fires, accidents, government regulations or any other situation not caused or influenced by the guests will be put in credit towards a future booking. 

Force Majeure credit must be used within 2 years from the original booking date.

ADDITIONAL CHARGES

Cleaning fee: On departure the property must be left in a clean and tidy state. You will find a check out checklist in the Welcome Book. Failure to do so will incur extra cleaning charges.

This includes time spent by our staff setting a cottage back to its original state in the event of alteration or rearrangement of any appliances, cutlery, furniture, fixtures or fittings inside or outside.

Occupancy fee: A fee of $110 per person per night will be charged to your nominated credit card if our maximum occupancy per cottage is exceeded.

Damaged property fee: An amount equal to the repair or replacement cost for the damaged/missing goods will be automatically charged to your nominated credit card.

SMOKING 

William Bay Cottages is in a bushfire prone zone and smoking is not permitted at any time. In the event that guests smoke inside or near the cottage and residue smell is unable to be removed with general cleaning, an additional fee of $250 for specialised cleaning will be charged to your nominated credit card.

OUTDOOR FIRES

William Bay Cottages is in a bushfire prone zone, therefore no outdoor fires are permitted at any time. A fee of $500 will be charged in the event of finding any evidence of outdoor fire on the property.

PETS

As William Bay Cottages is located on a private working farm and neighboring a National Park, we do not allow pets on the property.

RECEPTION AND WIFI

Due to our remote location there is limited mobile reception in and around the accommodation area.

WiFi is offered to our guests free of charge in our recreational room and reception area, however please note it is unavailable within the accommodation area. We see this as a positive though, an opportunity to unwind, slow down and reconnect with family and friends.

LOST PROPERTY/LEFT BEHIND ITEMS

William Bay Cottages will hold for a month any lost property/personal items found at the property upon guests’ departure.  Upon request, we are happy to mail any lost property to a contact address provided. Please note that a minimum fee of $30 + postage and packaging applies.
